1. Who we are
WeBid2Win (“we”, “our”, or “the service”) operates the WeBid2Win platform and related services, including the website https://webid2win.com/ and the WeBid2Win mobile application. This policy describes how we collect, use, and protect your information.
2. Information we collect
- Account and profile: When you register or maintain an account, we collect name, email address, phone number, business name, address (street, city, state/province, postal code, country), and optionally dealer or salesperson registration numbers. This is used to provide the service, identify your dealership, and communicate with you.
- Vehicle and appraisal data: When you submit vehicles or create appraisals, we store vehicle identification (e.g. VIN), mileage, condition, photos, window sticker data, notes, and bid or appraisal values. Sellers’ submissions are linked to your seller account; buyers’ appraisals and bids are stored per buying dealership.
- Mobile app: If you use our iOS app, we store a device token (provided by Apple) so we can send you push notifications about new appraisals or bid activity. We do not collect device identifiers for advertising. App usage is authenticated with the same account as the website.
- Usage and technical: We use standard web and server logs (e.g. IP address, browser type, pages visited) to operate the service and address errors. We do not use this data for third‑party advertising or cross-site tracking.
3. Security and privacy of your bids and dealer data
We are committed to keeping your bids and appraisal data confidential and secure.
- Dealership-level isolation: Each buying dealership’s bids and appraisals are stored in a dedicated, access-controlled database table. Only users who belong to that dealership (and, where applicable, site administrators for support and compliance) can access that dealership’s data. Other dealerships cannot see your bids, appraisal values, or internal notes.
- Role-based access: Access to data is enforced by role (e.g. buyer, seller, dealer administrator). Sellers see only their own vehicle submissions and the bids they receive from buyers they are connected to. Buyers see only vehicles sent to their dealership and their own dealership’s appraisals and bid history.
- No resale of dealer data: We do not sell, rent, or share your bid data, appraisal data, or contact information with third parties for their marketing or advertising. Your data is used only to operate the WeBid2Win service and as described in this policy.
- Secure transmission and storage: Data is transmitted over HTTPS. Access to the platform and to dealer-specific data is restricted by authentication and authorization controls.
4. How we use your information
We use the information we collect to:
- Provide the bidding and appraisal service (matching sellers with buyers, storing and displaying bids and vehicle data).
- Send you service-related communications (e.g. new appraisal or bid notifications, password resets, important service updates) by email and, if you use the app, by push notification.
- Perform VIN decoding, window sticker lookups, recall checks, and MMR (market) valuations when you request them, using the data you provide (e.g. VIN, mileage) as described in Section 5.
- Operate, secure, and improve the website and app (e.g. debugging, analytics necessary to run the service).
- Comply with applicable law and enforce our terms.
We do not use your data for third-party advertising or to build profiles for advertising purposes.
5. Third parties and sharing
We share data only as needed to run the service or as required by law:
- MMR (Manheim) valuations: When you request an MMR value, we send the VIN and mileage (and related parameters) to our MMR integration so we can return market data. This is necessary to provide the appraisal feature.
- Recall and vehicle data: We may send VIN (and related data) to third-party services used for recall checks and vehicle information. We use this only to supply the features you use.
- Carfax: Our site may link to Carfax (e.g. for vehicle history). Use of Carfax is at your choice; we do not send your data to Carfax except as you initiate (e.g. by visiting their site via our link).
- Email delivery: We use an email service (e.g. SMTP or a transactional provider) to send the emails described in this policy. The provider processes email only for delivery.
- Push notifications (iOS): Device tokens are sent to Apple’s push notification service so we can deliver app notifications. Apple’s use of data is governed by their privacy policy.
- Payments: If you subscribe or pay through our site, payment processing is handled by our payment provider (e.g. Stripe). We receive only non-sensitive payment status information; we do not store full card numbers.
- Legal and safety: We may disclose information if required by law, or to protect rights, safety, or property.
6. Data retention
We retain your account and profile data for as long as your account is active. Vehicle submissions, bids, and appraisal data are retained for the duration of your use of the service and as needed for legitimate business and legal purposes (e.g. dispute resolution, tax, or regulatory requirements). You may request deletion of your account or specific data; we will comply where we are not required to retain it by law.
7. Your rights
Depending on your location, you may have the right to access, correct, or delete your personal data, or to object to or restrict certain processing. If you are in the European Economic Area or the UK, you may also have the right to lodge a complaint with a supervisory authority.
8. Children
Our service is not directed at minors. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have collected such data, please contact us so we can delete it.
9. Changes to this policy
We may update this privacy policy from time to time. The “Last updated” date at the top will be revised when we do. Continued use of the service after changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
